E-Mailing Invoices

E-mailing invoices to customers/clients can expedite payment and keep your Accounts Receivable current.

The ability to e-mail invoices directly from QuickBooks for free has been available since QuickBooks 2003. The information is attached to the e-mail as a PDF file, along with a link to download Adobe Reader, if the customer doesn’t already have it.

A QuickBooks Merchant (Account) Service  coupled with QuickBooks Billing Solutions, allows customers to pay the invoice online with a credit card.

When each customer is set up, one of the tabs is “Additional Information.  In “The Preferred Send Method” box,  “E-mail” can be selected.

When an Invoice is created, the “To be e-mailed” box is checked.

Subscribers to the QuickBooks Billing Solution will see a third check box, “To be mailed through QuickBooks”.  Subscribers to both QuickBooks Billing Solution and an Intuit Merchant Service Account will see a fourth check box, “Enable for online payment”.

We recommend that you add yourself to be copied or blind-copied on each Invoice e-mailed so you have a record of when the Invoice was sent.

If a customer says they never received the invoice, have them check the “spam” or “junk” folders in their e-mail browsers.  Since the invoice is sent via a mailing service, sometimes it does not get through.  This is when having a copy that was originally sent to yourself can be forwarded to the customer.

QB Sunset update

If you don’t know which version of QuickBooks you are currently using,  press the Ctrl button and “1” at the same time. The Product Information window will display, listing the version you have, along with the release number, etc.

As of April 30, 2006, Intuit will be discontinuing  live support and add on services for the following software:

QuickBooks 2003.
QuickBooks for Mac Version 5.
QuickBooks Enterprise Solutions 2.0 & 3.0.
QuickBooks Point of Sale 2.0

Other associated services such as Assisted Payroll, Bill Pay,  Credit Card Download, On-line Banking and Billing, Standard Payroll (formerly called Do-It-Yourself), Merchant Services, etc. will all not be able to receive service and support if any of these versions of QuickBooks is used.
