REFUNDS WITH CREDIT CARDS
If you want to issue a refund for overpayments or other existing credits, follow this procedure in QuickBooks:
#1—Double click on the payment that “caused” the overpayment by going to the Customer Center and locating the client and the payment.
#2—Click Refund the amount to customer in the lower left of the payment screen; click Save & Close.
#3—Click Yes when the “You have changed the transaction; do you want to record your change” appears.
#4—On the Issue a Refund screen, enter Refund of overpayment in the memo field and then click Ok.
#5-If you are crediting the customer’s credit card, change the Issue this refund via field to VISA or other credit card name Then click OK to record the refund. Or you can select to write a check and refund the customer.
MID YEAR QUICKBOOKS CHECK
The Administrator of your QuickBooks file should be the owner or CEO of the Company. That person should have a secure password with which to access the QuickBooks file.
Using that login, there are a few items that you should check:
- Go to Reports, Banking, Missing checks and see if there are checks listed as “missing”. All checks should be accounted for.
- If you credited a Budget for the year, check the Actual vs. the budget numbers.
- Print a copy of the Profit and Loss and Balance Sheet showing a comparison to last year at the same date and see if the differences make sense.
- Check your Accounts Receivable and Accounts Payable aging reports to see if they are correct.
- Mark any clients or vendors that you are no longer working with as “inactive” so that your lists are easier to read.
It is easier to make these changes half way through the year instead of waiting until the year ends, when you have an entire year of transactions to adjust.
