How can my file be corrupt?

In order to try to prevent your QuickBooks file from becoming corrupted and unusable, you need to do the following steps:

  1. Upgrade your software every two years.  Intuit does not support issues from software more than 2 years old (they just discontinued supporting the 2009 version).  Therefore, if you had an issue with an older version, it would be difficult to get any assistance.

  2. Creating back-ups at least on a weekly basis is imperative.  Rotate one copy out of the office and keep one copy on site.  This way if there is a robbery or a fire, you have a copy you can restore and use.

  3. EVERY time you make a back-up VERIFY the data.  This process takes an additional minute or two, but is key to keeping your file “clean”.  If your company data does not verify, we can usually go through the verification log and see where your data doesn’t match, causing a verification error. Cleaning up the transactions that are in error usually allows your file to verify. This is an integral step to avoiding your file becoming corrupted.
  4. If your company file does become corrupted and we cannot remedy the transactions, Intuit can often restore your company data, if your QuickBooks version is current and supported.

You would be surprised how often  QuickBooks files become corrupted.  Take the time to maintain your file properly.

Make sure you allow QuickBooks to update when the message “would you like to apply updates now” appears. These updates are patches that repair issues your QuickBooks version is having.  Customers write in to Intuit with problems and these updates are the repairs they have made to the software.  Don’t click through these updates; allow them to apply for the best QuickBooks performance possible.

Changing to Windows 7….

If you are considering buying new computer equipment or updating your operating system to Windows 7, you may be wondering whether the version of QuickBooks you’re currently using will be compatible.

QuickBooks 2012, 2011 and 2010 (Pro, Premier, and Enterprise Solutions) are designed to be compatible with Windows 7. QuickBooks 2009 and 2008 can run on Windows 7, but some functionality may be impaired and you may encounter problems we can’t resolve.

Reminders

  1. You should upgrade your QuickBooks every 2 years.
  2. Back ups should be done weekly and one copy should be rotated
off site as a safeguard in case of theft or fire .
